Sales Administrator – Nanyuki Office
Job Purpose
The Sales Administrator in Nanyuki is responsible for providing administrative, operational, and customer support to the Nanyuki branch sales team and visiting clients. The role oversees front-office reception, client inquiries, sales documentation, CRM record-keeping, site visit coordination for Mt. Kenya / Laikipia region properties, petty cash management, and office logistics to ensure smooth branch operations and outstanding customer experience.
Key Responsibilities
- Warmly receive walk-in clients, visitors, and investors at the Nanyuki branch office.
- Respond promptly, professionally, and courteously to telephone inquiries, emails, and social media inquiries relating to Nanyuki and regional properties.
- Provide general information on available properties, pricing, payment terms, and scheduled site visits.
- Prepare, issue, and track customer offer letters, sale agreements, payment schedules, and receipts.
- Collect, verify, and securely archive client KYC documents (IDs, KRA PINs, passport photos, next-of-kin forms).
- Maintain up-to-date physical and digital files for all property sales, plot allocations, and client accounts.
- Log and track all inquiries, leads, and customer interactions in the company CRM system.
- Coordinate weekly and on-demand site visits for prospective buyers visiting Mt. Kenya / Nanyuki project sites.
- Liaise with drivers, property caretakers, and sales executives to ensure site visit transport, route planning, and client safety.
- Prepare site visit attendance registers, client feedback forms, and follow-up reports.
- Manage branch petty cash, maintain expenditure logs, and reconcile receipts in line with company financial policies.
- Oversee branch office supplies, cleanliness, utility payments, and equipment maintenance.
- Receive and record customer payment banking slips, MPESA confirmation codes, and forward to head office finance for receipting.
- Assist in organizing local marketing activations, roadshows, stakeholder meetings, and expo participation in the Mt. Kenya region.
Academic & Professional Qualifications
- Diploma or Bachelor’s degree in Business Administration, Secretarial Studies, Front Office Operations, Public Relations, Marketing, or related field.
- A minimum of 2–3 years of experience in sales administration, front office management, customer service, or office administration, preferably in real estate, hospitality, or financial services.
- Experience working in Nanyuki, Laikipia, or the wider Mt. Kenya region is a strong advantage.
Skills & Competencies
- Strong organizational, multitasking, and records management skills.
- Excellent verbal and written communication skills in both English and Kiswahili.
- High proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and data entry systems.
- Warm, approachable, professional demeanor with excellent customer care attitude.
- High level of integrity, reliability, and attention to detail.
